Notarised Documents

A fact of life in the UAE. Make sure you have this correct before coming here.

It is important employees have the birth certificate and marriage certificates notarized. Failure to do so will result in delays in the processing of dependent's visas (if applicable). 

If an employee is unable to have his/her highest educational qualification verified by the institution, the document of highest qualification must be notarized. 

Employees are encouraged to have these documents notarized in their home country of issue, as the process is much simpler and less expensive. 

All costs associated with notarization are borne by the employee and are not reimbursable. Notarized documents are returned to the employee at the end of employment. 

The procedures outlined below are there to assist you in obtaining the necessary notarization. The onus is on the employee to contact and forward the documents to the relevant department(s) for the notarization to be carried out. It is advisable to have your originals at hand in case the relevant department(s) require to verify the legality of the copy. 

Documents which Require Notarization 

The following documents must be notarized: 


Marriage Certificate  ( Living together is not allowed legally, even for "engaged" couples)
Dependent Children's Birth Certificates 

Notarization carried out in the U.A.E. 

If an employee is unable to carry out notarization of documents in his/her home country, then notarization can be carried out in the United Arab Emirates following the procedures outlined below: 
Documents must be notarized by a Notary Public in his/her home country. 
Documents notarized by either the employee's embassy or Consulate in the U.A.E. 
Documents notarized by the U.A.E. Ministry of Foreign Affairs in the U.A.E. 

Notarization carried out in Home Country. 

The procedures with regard to notarization of documents in the U.K., U.S.A. and Canada are outlined. For other countries employees are asked to contact the nearest U.A.E. Embassy to determine the
required procedure. 

(Marriage Certificates, Birth Certificates and where necessary Qualifications) 

The following information has been received from the embassies (updated March 2000). The procedures outlined must be followed to avoid delays. We apologize for the time and costs associated with the notarization of documents. 

UNITED KINGDOM 


1.Copy of documents stamped and signed by a Notary Public.

Note: If you are personally taking the documents to the embassy, please ensure that it is handed in between 0900 and 1330 hours, Monday to Friday. 

Costs: The Foreign & Commonwealth Office charge GBP.12.00 for each document. The U.A.E. Embassy charges GBP.10.00 for each document (please check as costs may have changed) 

If you have several certificates to be notarized please request the Notary Public to bind the document together, ensuring each certificate is listed on a covering sheet and classifying them as one document.
This will avoid each document being charged separately.  


Payment: Cheque made payable for the correct amount to The Foreign & Commonwealth Office. 
Postal Order for the correct amount to the U.A.E. Embassy  


Note: If you are unable to go personally to the above offices, you can send the documents together with the cheque for the amount to The  Commonwealth & Foreign Office enclosing an envelope with the U.A.E.


Embassy address and the Postal Order for the correct amount. The Commonwealth & Foreign Office will then forward the documents to the U.A.E. Embassy for notarization. On notarizing the documents, the U.A.E. Embassy will return the documents to you. It is advisable that you send the documents to the Commonwealth & Foreign Office by a reputable courier service.

In the U.S.A. you must get the documents endorsed by the following in the order shown:

Note: If you require the U.S. State Department to forward the documents to the U.A.E. Embassy then please ensure there is an envelope with the Embassy address clearly printed together with a check for the correct amount. Attach a covering letter to U.S. State Department. To forward the documents to the U.A.E. Embassy in the envelope provided. The U.A.E. Embassy will return the notarized documents to you. Please check with the Embassy if any delays. 

When sending the documents to the U.S. State Department, please ensure you send them via a reputable courier service. 





CANADA 

Notarization carried out at home country 

Follow the steps outlined for notarization of documents: 

1.Copy of document signed and stamped by Notary Public. 

2.Endorsed by: The Province in Canada to which you belong. Go to you Department of Justice or Attorney General, they generally are responsible for Notary Publics in the province. 

3.Endorsed by: The Canadian Ministry of Foreign Affairs. Send to:

4.At this point you have the choice of continuing to step 5 or you can bring the documents to the UAE and submit them to the Canadian Embassy. The College Personnel Office will advise and assist you with completing the notarization. Any associated costs will be the responsibility of the employee. 

6.Endorsed by: The U.S. Embassy or nearest U.S. Consulate General in Canada 

You can save time by enclosing a letter asking them to forward your documents, once they have been endorsed to The U.S. Consulate General. You must enclose an envelope addressed and prepaid to the U.S. Consulate General along with the fee ($32.00 U.S. at the time of writing) that is required for this
service. You will also need to include a self-addressed envelope for the U.S. Consulate to return all documents to you. Choose the U.S. Consulate closest to you. This will actually complete
Steps 5 and 6 for you.
